Marketing privacy notice

Take A Menopause & Breathe

Last updated 26 October 2026

This notice covers Take A Menopause & Breathe email newsletters, marketing campaigns, free resources and related enquiries. It applies across these campaigns, including information about coaching and retreats. It also explains links to Substack and Facebook. It does not replace separate information for coaching records, retreat bookings or photography permissions.

Who is responsible

The data controller is Lucinda McCance, the person behind Take A Menopause & Breathe. I decide how and why your information is used for the activities described here.

Email: takeamenopauseandbreathe@gmail.com

Post: Yonder Meadow, Rewe, Devon EX5 4EU, United Kingdom.

What I collect

I collect your email address, your first name if you choose to give it, your subscription choices and a record of how and when you consented. That record includes the signup source and the wording you agreed to. I also receive messages you send me and records of delivery, failed delivery and unsubscribing.

The services that run my signup form and download page process technical information, such as IP addresses, browser information and access times, to deliver and secure those services. Your contact information comes from you; technical records are generated when you use those services.

Your email address is needed to send the emails and resources you request. Your first name is optional. You are not legally required to subscribe, and subscribing does not commit you to buying coaching or a retreat.

How I use your information

With your consent, I send the resources, welcome or follow-up series and newsletters you sign up for. These include practical menopause support and information about coaching, retreats and other resources. Each signup page explains what you are choosing to receive and its expected frequency. My lawful basis is consent under Article 6(1)(a) of the UK GDPR.

I use ordinary contact and correspondence details to answer questions and resolve delivery problems. My lawful basis is legitimate interests under Article 6(1)(f): responding to people who contact me, operating and securing the form and download page, and running a reliable newsletter. If you ask me to take steps towards a booking, the relevant basis is steps at your request before entering a contract under Article 6(1)(b).

I retain limited consent and opt-out records to demonstrate and respect your choices. This is based on my legitimate interests in accountable marketing, and on legal obligation under Article 6(1)(c) where a particular record or response is required by law.

Your choice and how to stop the emails

You can withdraw consent or object to direct marketing at any time. Use the unsubscribe link in an email or contact me at the address above. You do not need to give a reason. I will stop marketing emails promptly; withdrawal does not make earlier lawful use unlawful.

Resources already sent to you are yours to keep after you unsubscribe. I keep a minimal suppression record, such as your email address and opt-out date, so I do not accidentally add you back to marketing. It is not used to send further promotions.

Health and intimacy information

You do not need to tell me about symptoms, treatment, sexual life or medical history to receive the newsletter or guide. Please do not send medical records or intimate details through the signup form or an ordinary email reply.

Requesting a guide is not confirmation of a diagnosis or of your personal circumstances. I do not use it to infer a health condition or sexual difficulty, or use health or sexual-life information to target newsletter marketing.

Newsletter consent is not explicit consent to process sensitive information. If you want support that needs health or intimacy details, I will explain the purpose, relevant privacy arrangements and appropriate lawful conditions before asking you to provide them. Where I rely on explicit consent, I will ask for it separately. Volunteering sensitive details in an email does not automatically give permission to keep or reuse them for other purposes. I will minimise unnecessary details and seek an appropriate basis before any further use.

Email tracking and automated messages

I do not use optional email-open pixels or individual click tracking for the email campaigns covered by this notice. Brevo still records information needed to send messages, deal with bounces and respect unsubscribe requests. I can also read replies you choose to send.

Welcome or follow-up emails may be sent automatically after signup, according to the schedule explained on the signup page. I do not use this system to make decisions about you that have legal or similarly significant effects.

Who receives your information

I use Brevo to manage the signup form, subscriber list, consent records and email delivery. I use Google Gmail for messages sent to my contact email address. The guide download page is hosted on Netlify; opening that page involves the hosting service processing technical request information. A download link does not itself require your name or email address to be sent to Netlify by me.

Service providers process information under the arrangements applicable to their services. Limited information may also be disclosed to professional advisers or authorities where necessary for a legal obligation or claim. I do not sell your subscriber details or give them to unrelated businesses for their own marketing.

You can read the providers' information here: Brevo privacy information, Google privacy information and Netlify privacy information.

Substack and Facebook

My emails may link to articles on Substack or to my Facebook group. Visiting or using those services involves their own processing, including technical data and any account or activity information you provide. Read Substack's privacy policy and Meta's privacy policy for details.

A separate Substack subscription is not automatically a subscription to my Brevo newsletter, and joining the Facebook group does not add you to the email list. I do not automatically import this newsletter list into Substack or upload it to Facebook advertising audiences. Subscribing directly on Substack means I can receive the subscriber information the platform makes available to publication authors, for that publication. Your Substack email preferences are managed separately.

Group posts and comments may be visible to other members or readers, depending on the service and settings. Please share only what you are comfortable making visible there.

Processing outside the UK

The services I use can involve processing outside the UK, including in the European Economic Area and the United States. Providers may also use support teams or subprocessors in other countries.

Where a restricted international transfer is made on my behalf, it must be covered by a valid UK transfer mechanism, such as applicable adequacy regulations or appropriate contractual safeguards, including a UK International Data Transfer Agreement or UK Addendum where relevant. The provider arrangements must also meet any required risk-assessment requirements. You can contact me for details of the destinations and safeguards relevant to your information, and how to obtain a copy. A newsletter consent checkbox does not replace these safeguards.

How long I keep information

I keep your newsletter contact details while you remain subscribed and they are needed to provide the service. I review the list to remove contacts that are no longer needed, including permanently undeliverable addresses.

After you unsubscribe, I stop marketing use and remove information that is no longer needed. I retain only the consent or withdrawal evidence reasonably needed to demonstrate compliance or resolve a dispute, and the minimum suppression record for as long as there is a continuing risk of contacting you again. These records are reviewed and are not used to restart marketing.

I keep ordinary enquiries until they have been answered and any reasonable follow-up is complete. Relevant information may need to be kept longer for a specific legal obligation or claim; it is removed when that reason ends. Deleted material may remain temporarily in provider backups until their deletion cycles complete, but must not be restored to active marketing use.

Security and your rights

I limit access and use proportionate account, device and provider safeguards. No internet service can promise complete security. I will assess any personal-data breach and notify the regulator and affected people where required.

Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, or receive a portable copy where that right applies. You can object to processing based on legitimate interests. Your right to stop direct marketing is absolute, and you can withdraw consent whenever I rely on it.

To make a request, use the contact details above. Requests are normally free and I normally respond within one month. If identity checks or a lawful extension are needed, I will explain this. Some rights have legal limits, which I will explain where relevant.

If you have a concern, please contact me. I will acknowledge a data protection complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint, and to another competent data protection authority where applicable.

Changes to this notice

I will update this notice when the arrangements change and tell you about material changes before using information for a new purpose. Changing the notice does not extend your existing consent.
